Cancellation, Scope Change & Engagement Policy

Because Strathnova allocates senior practice leadership and dedicated specialists from The Bench for specific client engagements, our cancellation and engagement modification terms are structured as follows:

1. Pre-Engagement Inquiries

Inquiries or introductory discussions may be canceled or rescheduled by either party at any time prior to the execution of a binding Statement of Work (SOW) without penalty.

2. Active Engagement Cancellations

Cancellation rules for active consultancy retainers, strategic sprints, or fixed-scope engineering engagements are governed by the specific terms in your SOW or MSA:

Advisory & Retainer Models: Require written notice of [30 days / 14 days] prior to the upcoming billing cycle, as outlined in your SOW.

Sprint / Fixed-Scope Deliverables: Cancellation after project kickoff will incur fees for all work completed, milestone deliverables reached, and non-recoverable resource allocations up to the date of formal cancellation.

3. Scope Changes & Adjustments

Any changes to engagement scope, team composition, or delivery timelines must be formally submitted in writing and agreed upon via an executed Change Order or revised SOW.

Refund & Retainer Policy

Strathnova provides professional high-level advisory, strategy, and engineering consulting services. Services are billed based on time, allocated senior talent, and agreed deliverable frameworks.

1. General Refund Policy

Consultancy & Advisory Fees: Services rendered, strategic advisory sessions completed, and allocated advisory time are non-refundable.

Retainers & Deposit Payments: Upfront retainers or milestone deposits are non-refundable once practice resources have been committed or work has commenced under an executed SOW.

2. Unused Capacity & Pre-Paid Retainers

If an engagement is terminated early by mutual agreement in accordance with the SOW cancellation terms, any unearned, pre-paid retainer balances for work not yet commenced will be handled or returned in accordance with the terms specified in your SOW.

3. Quality Assurance & Dispute Resolution

If you believe a deliverable or advisory phase does not meet the standards agreed upon in your SOW:

• Notify your Strathnova practice lead in writing within 5 business days of milestone delivery detailing the specific discrepancy.

• Strathnova leadership will review the deliverables against the SOW acceptance criteria and work collaboratively to remediate or adjust the scope accordingly.
